My business emails are being marked as spam
When a customer orders from the site it generates an order confirmation email, and then a completion email when I have finished the job.
So most of my work is done by sending proofs for the customer to check and confirm.
This is a massive problem as most of my emails are marked as spam and this means the customers are not getting the proof as they just don’t realise they have received it.
Im losing out on lots of business due to this spam issue what can I do?
is my domain marked on a blacklist somewhere?
thanks for any help.
paul.
Re: My business emails are being marked as spam
If you are using shared hosting it is possible some other site has got the entire IP range blocked, you can check on spamhaus if it is blacklisted through them.
Re: My business emails are being marked as spam
Neither IP or domain is on the list.
not sure what else to do.
Re: My business emails are being marked as spam
It could still be marked as spam somewhere. e.g. I had a problem with a customer of mine who's email was being bounced if sent to a hotmail address as hotmail had it blacklisted.
Is it ALL emails or some etc. Some would point to partial blacklists.
Other things that can cause rejection if poorly configure spf records or other DNS related records.
Loads of free network domain testing tools on the net. You put in the domain in question and it will tell you if any issues with configuration.
To add I now use zoho.com to sort out my customers business email. It is free and you still use your own domain but they configure everything and you get webmail too if you want it. Their site completely walks you through doing it and since I started using them I never get any bounced/spam marked emails anymore and no headaches configuring DNS records
Re: My business emails are being marked as spam
Just a guess but if the webshop is sending the email it may be that the server it sends from is not listed on your SPF record (and if you have DKIM enabled it isn't being DKIM signed). Do you manage your own site? If so can you let us know where your email is hosted and see if the shop plugin has an option for specifying SMTP servers for outgoing email? If you are using wordpress then there are plugins where you specify an SMTP and all mail sent from the site then uses that. I have helped some web designers set this up so site emails pass the SPF/DKIM/DMARC validation I put in place to prevent third parties impersonating the domain to scam clients.
Re: My business emails are being marked as spam
It’s my mail client and the store emails.
I have requested a transfer of my domain from crazy domains to 123-reg so I can control the dns better and add an SPF so it’s a waiting game now until I can get it transferred.
The host Has been really helpful so far so fingers crossed the transfer goes quick and I can try the spf.
Re: My business emails are being marked as spam
If you want to PM me your domain I can take a quick look and see if anything obvious jumps out. Got a busy weekend so worst comes to worst will look at the start of the week but I'm doing quite a lot of email migrations at the moment and regularly see issues like this. A few weeks ago I had migrated a client to Office 365 Exchange and after that the order confirmation messages sent from their web shop were delivered to junk or labelled SPAM by Eset mail scanner, turns out the web designer hadn't set the SMTP up with the account details I had sent him so web mail wasn't passing the validation checks.

If you are stuck still, let me know and I'll have a look if you'd like buddy :)
Re: My business emails are being marked as spam
PM'd you but in case it helps anyone else, these free DMARC digests can be handy. They are sent every Monday and list what emails have produced a DMARC report the past weekso you can see if they aligned SPF/DKIM tests and what mailserver they were sent from. They miss the detail of paid for reports but are still useful:

Re: My business emails are being marked as spam
are you sending the automated emails by smtp instead of php? if not you should change to smtp and that should help. If you're using wordpress for example there is a plugin called mail bank that can take care of this for you. magento has a free extension called smtp pro to do the same job. Depends on how the site was built. That should help with your emails that are sent automatically.
is it going to spam with specific providers?
Re: My business emails are being marked as spam
Its not just the website emails its even when i send from my phone or pc.
SPF was added for me by the host so fingers crossed it works or helps a little.
Re: My business emails are being marked as spam
Was SPF added since starting this thread? Knowing that all of your email have the same issues makes me think it is SPF or a blacklist. I got your emails so will check the headers and get back to you.
Re: My business emails are being marked as spam
SPF was added 2 days ago so fingers crossed.
I have also added the dmarc to the dns tonight.
Cheers for the help guys let’s hope it all helps.

Re: My business emails are being marked as spam
No it didn’t mate :(
i still get a lot of my emails go to spam I have added a note on my contact page and when someone makes a purchase it requires a mobile number so if there’s a problem I call the number.
Re: My business emails are being marked as spam
Might be worth trying to send an email to a service like this with the same general stuff you send to customers...

Re: My business emails are being marked as spam
All came back fine which is odd. But oh well.
Re: My business emails are being marked as spam
One thing you can do that will work is moving your email onto Gmail. Can add your own domain on there and it will use their smtp servers.
